Exhibition flow
1. Signing of contract between exhibitor and organizer, payment of the deposit per booth (down payment terms shall be negotiated with exhibitor);
2. Booth confirmation, prepare the relevant document and information of the exhibition and exhibit goods;
3. Exhibitor contact the exhibition design company for booth design;
4. Fill up personnel information and company profile, verify the information and submit to the organizer to incorporate into exhibition bulletin;
5. Passport preparation of the exhibitors ( whether if they have a valid passport);
6. Exhibitor pay the balance for the booth;
7. Furniture layouts confirmation;
8. Shipping of goods for exhibition ; exhibit goods shall be shipped at least two to three months in advance;
9. Visa confirmation and schedule arrangements;
10. Departure.
Three days before
1. Arrival, hotel check-in;
2. Exhibition hall inspection;
3. Contact shipping agents to determine the arrival of exhibit goods;
4. Instruct the shipping agent to deliver the exhibit goods to the exhibition venue;
5. Contact the local contractor to make sure everything is ready;
6. Contact the representative of organizer, exchange contact;
7. Interview local clients;……
Two days before
1. Make sure all goods are shipped;
2. Check the functionality of the all the equipment;
3. Decorate booth;
4. Finalise the programme;
One day before
1. Final check on booth structure, equipment and exhibit goods;
2. Promotional item will be sent to distribution center;
3. Final briefing with the company employees and translator etc;
During the exhibition
1. Be present at the exhibition as early as possible;
2. Issue press statement on the first day of exhibition;
3. Book the exhibition booth one year in advance to enable availability of booth ;
4. Record every clients’ requirement in details, do not rely on self-memory;
5. Do not make empty promises on products’ requirement, report to the HQ and make further arrangements, as customers’ trust and confidence are your business asset;
6. Daily briefing with the company employees;
7. Sent the daily report of prospects’ details to the HQ for immediate processing and response.
End of exhibition
1. Supervise the demolition of exhibition booth;
2. Opportunity management;
3. Send thank you cards.
